Introducing the New ‘Manage Users’ Function

Manage Your Account Access

Bowens has long been asked to give customers more control over their accounts. Since the introduction of online logins, we’ve worked hard to ensure customers can securely manage invoices, balances, statements, quotes, digital cards, and more.

However, one critical feature was missing: the ability for customers to manage who has access to their account. Without this, Bowens had no way of knowing when someone joined, left, or changed roles within a company, unless notified by the business.

That’s where the Manage Users function come in.

What is the ‘Manage Users’ account function?

Manage Users gives customers the power to manage who is connected to their account, safely and securely.

“Every customer can have one or more admins for their account and that individual or individuals will be able to view particular areas of the accounts,” said Yash Desai, eCommerce Manager.

Rather than sharing a single login, individual team members can be given their own access. If someone leaves or changes roles, their access can be updated or removed instantly.

Users can be added with one of two roles:

• Contact: Limited access to selected areas
• Administrator: Full access to the account, including control over user permissions.

“Only administrators can view and manage these permissions,” Yash said.

Managing Multiple Users and Access Levels

Building companies often include directors, office staff, and onsite workers who all require different levels of access.

“There can be multiple people with full access,” Yash said. However, using shared or generic logins can pose security risks.

“We don’t like accounts with one generic email. We want each employee to have their own email address and to use their own logins.”

When a new user is added, admins must provide their name, email, mobile number, and assign a role.

Contacts can be granted access to:

• View credit limits
• Pay invoices
• Place orders
• View contract pricing

Administrators receive full access, including the ability to add, edit, and remove employees from the account.

Real-Time Security and Digital Card Integration

Maintaining an up-to-date user list is important for account security. If someone leaves the business, the admin for the account can revoke their access immediately — and the change is reflected across Bowens systems immediately.

“As soon as admin hits remove, the contact is deleted from all access. This is real time,” Yash said.

This includes the digital card, which becomes inactive the moment a user is removed. Only authorised individuals will be able to present a valid card and make purchases in-store, enhancing security and reducing misuse.

Additional Benefits

Admins aren’t limited to managing employees. They can also grant access to trusted external contacts such as bookkeepers or accountants just as they would a new staff member.

This access can be temporary or permanent, offering flexibility without compromising security.

Both account customers and cash customers can use admin permissions. For example, family-run businesses or partners can be linked under a shared account, without confusion.

How to Set Up ‘Manage Users’

Currently, manage users is set up manually for security reasons.

“If you’re an existing customer, you probably won’t see this option because we don’t know if you are the owner of your account,” Yash said.

To activate and manage your users, customers will need to contact Bowens directly. Our account managers are reaching out to major customers individually to identify account owners and roll out the feature securely.

Once the manage users access is activated, it can be found on the overview screen within your Bowens ‘My Account’.
